Spotlight: Large Health System in Ohio Drives Efficiency Through Rotera’s Digital Assistant

A large health system in Ohio provides care to thousands of patients across the state. The health system’s Financial Counseling team supports patients and clinicians by helping patients better understand their financial obligations and options for services. How did they get this critical information to patients? A 3200+ line Excel spreadsheet that users would have to carefully comb through for each procedure.

Rotera and the Financial Counseling team created a digital assistant that optimized these procedure fee estimations. Counselors now easily look up a procedure name or code in their Sidekick (Rotera’s digital assistant application) which automatically displays the key estimate information they need to give to their patients. Since the implementation of the Fee Schedule digital assistant, the Financial Counseling team has undergone a remarkable transformation in their daily workflow. With the introduction of the Fee Schedule digital assistant, the team has seen an impressive 30% reduction in the average time spent per estimate.

Perhaps more notable than the time saved during the estimation itself, is the significant decrease in complaints routed through the health system’s customer service.  As one team manager explains:

"By providing more accurate estimates upfront, we have witnessed a notable decline in complaints and calls to customer service."

Dive into the World of Conferences!

Our revenue team, led by our CEO Erick McKesson, has been attending several conferences throughout 2023. Conferences are a fantastic opportunity for startups to meet new strategic partners and potential customers, while also learning about market trends impacting your target users. So what's the buzz coming out of these conferences? Conversational AI and generative AI are the trendiest kids on the block. Meanwhile healthcare organizations are still in their labor crisis era with no end in sight. Hospitals have been exploring technology solutions and redefining how they think of their labor force to help keep up with patient demand. For example, Tufts recently launched a gig economy approach for many open revenue cycle roles to help ensure needed work is still getting completed. Also, while automation is still a hot topic in healthcare, we are starting to see a shift towards AI tools that require less maintenance and focus on improving the lives (and efficiency) of staff - a win-win scenario for reducing cost AND retaining staff.

So, what can we do about the labor shortage affecting hospitals?

The COVID-19 pandemic created an unprecedented demand for healthcare. This, coupled with high levels of clinician burnout, an aging workforce, and a high turnover rate, has put an incredible stress on resources. Organizations should work collaboratively across operations, clinical, change management, and technology teams to determine how to maximize employee satisfaction and incentivize new employees. How to succeed with process automation

Automation is a phenomenal way to reduce redundant tasks and help alleviate overloaded workers to increase employee satisfaction. While automation can provide long-lasting effects to an organization, organizations need to create sustainable governance, change management and iterative processes to reap the full benefits. Not sure if automation makes sense for your organization? Start by reviewing workflows that are being completed by your employees and evaluate what their pain points are, where they are spending their time, and what tasks they are doing repetitively. The most important thing to keep in mind is that implementing automation is not a one-time event; you will need a strong support team in place to continually update and improve the bots you create. Additionally, it’s wise to not put all your eggs in one vendor basket; build your own internal competence to ensure you have a long term program in the event that market shifts change the support you are receiving. Erick McKesson

Erick has been in the healthcare technology industry for the past 17 years. He began his career at Epic Systems where he had a knack for pushing the boundaries — leading the new Model System, the first Single Billing Office implementation, and first hospital community connect project. In 2010 he joined McKinnis Consulting Services as a Partner and Consulting Director and had an emphasis on productizing solutions that leverage the EMR to automate routine tasks.

After a successful exit to Navigant Consulting in 2016 he began the early stages of their healthcare intelligent automation team. In 2018 Erick founded and built Venddy on a no-code platform, helping solve healthcare vendor selection and management challenges. Still driven to focus on automation, Erick became VP of Product at a unicorn status healthcare automation company.

Erick’s unique experience with EMRs, consulting, the vendor landscape, and AI products led him to start Rotera to create a platform that allowed healthcare operators to create smart applications using data from hundreds of sources, with minimal to no engineering experience.
